The Client Services Advisor plays a critical role in the arenaflex team, being essential to our business success. Serving as the primary contact with our partners and clients, they ensure that expectations meet established timelines. As a key team member, the role will focus on supporting our projects during on-site deliveries, utilizing your skills and expertise in engaging with our clients to enhance our service-oriented association.
Your meticulous attention to detail and capable project management skills will be essential as you handle multiple portfolios and on-site learnings, including both face-to-face and virtual learning drives. Filling in as an idea partner and issue solver in this unique setting, you will thrive in our collaborative team environment.
The Client Services Advisor will report to the Operations Support Manager and be based in Festival, FL.
**Key Responsibilities:**
* Builds and cultivates positive relationships with partners, vendors, clients, and internal stakeholders while coordinating and executing on-site program support.
* Assists with on-site tasks for face-to-face growth opportunities at the arenaflex Hotel.
* Facilitates and actively participates in client and internal meetings, maintaining detailed records of conversations, deadlines, and communications.
* Collaborates to ensure the timely and cost-effective delivery of excellent products and services to clients.
* Proactively identifies and addresses potential issues to keep projects on track.
* Monitors project progress and resource allocation, collaborating with other teams to ensure timely completion.
* Upholds both face-to-face and virtual learning drives functionally.
* Maintains regular communication with internal stakeholders and external vendors regarding work status, quality control, cost management, and deadlines.
* Utilizes project management and vendor management systems to manage work orders, oversee production, transportation, and receipt of materials.
* Manages assigned projects, providing regular updates on a case-by-case basis.
* Capably navigates various computer systems to ensure data accuracy and consistency.
**Essential Capabilities:**
* 1+ years' experience building positive relationships with employees, clients, vendors, partners, and other functional units.
* Effectively manages multiple projects, assignments, and deadlines, focusing on delivering high-quality results while providing on-site support for programs at the arenaflex Hotel.
* Adaptable to work in a team and independently when necessary.
* Exhibits exceptional verbal and written communication skills.
* Demonstrates strong organizational and critical thinking skills with meticulous attention to detail.
* Handles confidential information with caution and integrity.
* Initiates tasks autonomously, requiring minimal guidance, and consistently sees them through to completion.
* Able to make independent decisions within established guidelines.
* Proficient in Microsoft Windows environment, including Microsoft Outlook, Teams, Word, Excel, and PowerPoint.
* Open to acquiring skills in new software applications as required.
* Should have a valid FL Driver's License (Class C) with a clean driving record showing five (5) years of prior safe driving.
* Ability to adapt to a flexible work schedule, including evenings, weekends, and holidays.
**Preferred Capabilities:**
* Past experience working at the arenaflex Hotel or other areas within arenaflex or arenaflex Experiences.
* Experience in providing on-site functional support for projects and events.
* Multilingual with proficiency in Spanish/Portuguese preferred.
* Demonstrated experience working with managers or other senior leaders.
* Proficient in Smartsheet, WorkFront, Siebel, DSCS, WebBEO, and Certain.
* Influencing skills with ability to work with cross-functional teams.
* Experience in following directives from leaders arranged in diverse areas or time zones.
* Skilled in communication through platforms like Teams, Zoom, and other virtual tools.
**Required Education:**
* Associate's degree or equivalent work experience.
**Preferred Education:**
* Bachelor's degree in Business Administration, Communications, Project Management, or related field or equivalent work experience.
