We are seeking a highly organized, detail-oriented, and proactive Listing Assistant to support our fast-paced and growing real estate team. This role is perfect for someone who thrives under pressure, loves a dynamic work environment, and takes ownership of their role and responsibilities.

The Listing Assistant will play a critical part in supporting the team’s listing processes from start to finish, managing backend organization, data entry, and client-facing communication with professionalism and confidence.

Systems & Tools You’ll Use:
  • Google Suite (Docs, Sheets, Forms, etc.)

  • Dotloop (Transaction Management)

  • Follow foUp Boss (CRM)

  • Todoist (Task Management)

  • SWIFT (Listing Management Platform)

  • PadSplit Marketplace (Listing Platform)

Responsibilities Include (but are not limited to):

Listings Support:
  • Create Google Drive folders for all listings and pull required documents

  • Prep listing agreements and documents in Dotloop

  • Data entry and preparation of listings in SWIFT

  • Grow into responsibility of pushing listings live

  • Finalize listing setup post-launch

  • Track and monitor paperwork and signatures

  • Maintain monthly financial reports for PadSplit properties

  • Keep all team and seller inventory spreadsheets updated

  • Collect showing feedback and communicate with team and sellers

  • Notify occupied properties of showings (Padsplit properties)

  • Organize incoming offers on listings

  • Maintain PadSplit Marketplace listings

  • Execute listing checklists for all active properties

  • Reverse prospecting tasks as needed

  • Manage Follow Up Boss Deal Board for seller transactions

Additional Support:
  • Prepare buyer documents for team agents (buyer brokerage agreements, offers, etc.)

  • Manage and assign incoming Padsplit Marketplace leads

  • Support general team operational needs


Requirements

Ideal Candidate Has:
  • Real estate experience in the state of Georgia

  • Strong working knowledge of Google Suite tools

  • Experience using CRM systems like Follow Up Boss

  • Ability to learn new platforms quickly

  • Highly organized with utmost attention to detail

  • Strong communication skills, both written and verbal

  • Ability to prioritize and multi-task in a fast-paced environment
