BHC is seeking a highly organized, detail-oriented, and proactive Marketing Operations Coordinator to support the day-to-day operations of the Marketing department across the Beemok Hospitality Collection portfolio. This role serves as the operational hub of the marketing team, ensuring projects remain organized, deadlines are met, reporting is delivered accurately, and departmental processes run efficiently.
Responsibilities
- Attend weekly marketing meetings and other designated cross-functional meetings, capturing action items, decisions, and next steps
- Maintain the department's Monday.com workspace, ensuring projects, timelines, owners, and deliverables remain current and organized
- Create, assign, and monitor project tasks while following up with team members to ensure deadlines are met
- Support the development and continuous improvement of departmental workflows and project management processes
- Assist with scheduling meetings, preparing agendas, and distributing meeting recaps when needed
- Coordinate the preparation of monthly marketing reports and executive presentations
- Build monthly reporting decks, gathering contributions from team members and assembling final presentations
- Collect and compile recurring marketing performance metrics, including:
- Website analytics
- Online reputation and review scorecards
- Social media metrics
- Other recurring marketing KPIs
- Prepare and distribute recurring reports to internal stakeholders
- Assist with Amex Resy reporting and other partnership reporting requirements
- Support budget administration through Expensify expense reporting and reconciliation
- Monitor and respond to inquiries submitted through [email protected], routing requests to the appropriate team members and ensuring timely follow-up
- Coordinate charitable donation and sponsorship requests, maintaining tracking documentation and communicating with requestors as appropriate
- Assist with hosted stay administration, including maintaining room allocation spreadsheets and coordinating internal communication
- Maintain department documentation, templates, and shared marketing resources
- Perform routine website updates, including content edits, event postings, and minor page updates, as needed
- Maintain event listings across owned and third-party calendar platforms
- Support management of Way listings, experience platforms, and other digital distribution channels
- Maintain third-party business listings to ensure information remains accurate and current across all properties
- Assist with weekly Forbes Digital Standards audits and other recurring brand compliance reviews
- Update departmental planning calendars and marketing schedules within Figma
- Attend designated property lineup meetings to remain informed of operational updates, upcoming events, and guest experience initiatives
- Serve as a liaison between Marketing and operational teams by communicating marketing timelines, project updates, and upcoming initiatives
- Assist with coordinating internal communications related to marketing campaigns and property events
- Provide general administrative and logistical support to the Marketing team as needed
Skills
- 2–4 years of experience in marketing coordination, project management, hospitality, administrative support, or a related field
- Exceptional organizational skills with the ability to manage multiple projects and competing priorities simultaneously
- Strong attention to detail and commitment to accuracy
- Experience using project management platforms such as Monday.com, Asana, Trello, or similar software
- Proficiency in Microsoft Office, Google Workspace, and presentation software including PowerPoint and Keynote
- Experience compiling reports and working with spreadsheets and marketing data
- Strong written and verbal communication skills
- Self-motivated, collaborative, and comfortable working in a fast-paced environment
- A passion for organization, process improvement, and supporting high-performing teams
- Ability to work at a computer for extended periods
- Occasionally lift up to 15 pounds
- Communicate clearly in written and verbal formats
- Familiarity with Figma, website content management systems, and basic digital marketing platforms
